Instagram FAQ auto reply: how to build a DM FAQ that actually answers questions (with 20 templates)
Build an Instagram FAQ auto reply for your DMs: find real questions, write short answers, pick triggers, set human handover, plus 20 ready templates.
Most Instagram inboxes are not full of unique, complicated conversations. They are full of the same ten questions asked a hundred different ways: "How much?", "Do you ship to me?", "Are you open Sunday?", "Is this still available?". Answering each one by hand is slow, and slow replies cost sales and bookings.
An auto reply Instagram FAQ fixes that. Done well, it answers routine questions in seconds and leaves your team free for the conversations that need a person. Done badly, it feels like shouting into a phone menu. This guide shows how to build the good kind.
Step 1: find your real questions
Don't guess. Spend 20 minutes scrolling back through the last month of DMs and comments, and write down every question. Then group them. Most businesses end up with five to fifteen groups, such as:
- Price and packages
- Shipping, delivery or location
- Opening hours and availability
- Booking or ordering
- Sizing, ingredients or specifications
- Returns, refunds and cancellations
- Collaborations and partnerships
Sort the groups by how often they come up. Your first FAQ should cover the top five; you can add more later.
Step 2: write answers that fit on a phone screen
A good FAQ answer is short, specific and ends with a next step. A simple formula:
- Answer the question directly in the first sentence.
- Add one useful detail (a condition, a time frame, an option).
- Give a link or next step.
- Offer a human if they need more.
For example:
"We ship across the UK and EU. UK orders usually arrive in 2–4 working days and EU orders in 5–8. Full details are here: [link]. If you need something by a specific date, reply TEAM and one of us will check."
Avoid copying whole policy pages into a DM. Summarise, then link.
Step 3: choose how each FAQ is triggered
Instagram DM automation tools usually offer a few ways to trigger an answer:
- Keywords in a DM: someone types "shipping" or "price" and gets the matching answer.
- A welcome menu: the first reply lists options ("Reply 1 for prices, 2 for delivery, 3 for booking").
- Comment to DM: a comment keyword on a post sends a specific FAQ answer by DM.
- Story replies: a reply to a Story with a keyword triggers the answer.
Keyword triggers feel the most natural, but people misspell and paraphrase. Add common variations ("ship", "shipping", "delivery", "deliver", "postage") and test with real phrasing from your inbox.
A short menu is useful for businesses with many question types, as long as it is genuinely short. Three to five options is plenty.
Step 4: decide what never gets an automatic answer
Some messages should always reach a person:
- Complaints, damaged items or late orders
- Refund disputes
- Health, legal or financial questions about someone's personal situation
- Press, partnership or wholesale enquiries
- Anything that sounds urgent or upset
Set a fallback message for anything the FAQ doesn't recognise: "Thanks for your message! A member of the team will reply within [honest time frame]." Make the time frame real; "within one working day" is better than "right away" if nobody checks DMs at night.

Collaborations

- "We're not taking on new stockists right now, but you can send details to [address] for the future."
General
- "Hi! I can help with prices, delivery, bookings or returns. Just type what you need, or reply TEAM to talk to a person."
- "Thanks for your message! We reply personally within [time frame]. In the meantime, our FAQ page might help: [link]."
Step 5: test it like a customer
Before going live, message your own account from a personal profile and try:
- Each keyword, plus a misspelling and a casual version
- A question the FAQ doesn't cover
- "TEAM" or whatever your handover word is
- A message in the middle of a busy hour
Check that links work on mobile and that answers don't contradict your website.
Step 6: review monthly
An FAQ goes stale quickly. Once a month, look at:
- Which FAQ answers are used most
- Which messages hit the fallback (these are your next FAQ entries)
- Which answers lead to handovers anyway (the answer may be unclear)
- Anything that changed: prices, hours, policies, shipping times
Honest limitations
FAQ automation on Instagram depends on Meta's official API. It replies to people who message you, comment or reply to a Story; it cannot message people who haven't contacted you, and Meta can change the rules. An FAQ also won't fix an unclear website or policy: if the same question keeps escalating, fix the source.
